Throughout this privacy policy AAA precision LTD will be referred to as “we “, “us” or “the company”. This privacy policy explains how we use any personal information we collect about you.

Some are essential for us to provide the services we offer or to fulfil legal obligations; some help us run our business as efficiently as possible. 2. When do we collect your personal data?

This may be to provide you with a service or when you have contacted us for a quotation. We use different methods to collect data from and about you to provide the most efficient service to you, these methods include:

  • When you contact us by any means to request a quotation for parts, and or a service

  • When you apply for an account with us

  • When you contact us via telephone, email, etc.

  • When you book an appointment with us

  • If you receive an account statement/invoice

3. Personal information we might need to collect

Personal data or personal information means any information about an individual from which the person can be identified. Personal data covers information such as your name and contact details but also less obvious information such as electronic location data and other online identifiers.

We may collect, use and store the following data:

  • Business email and telephone number

  • Contact names within your business (accounts Department, technical department, etc.)

  • Billing and delivery addresses

  • Company registration numbers, vat registration numbers and Trading business names

  • Transaction Data including payments to and from AAA Precision LTD and yourself and other details of parts and services you have purchased from us

4. Why we collect this information

Here at AAA Precision Ltd. our use of personal Data is limited and restricted to internal processes, we require this information to provide you with a better service and in particular the following:

  • Internal record keeping

  • Quotations for subcontracted parts where appropriate( see section 8)

  • Contact by email, phone, post or in person relating to an order or enquiry

  • Contact by email, phone, post or in person relating to any parts or service that may interest you

  • On-going business requirements such as internal record keeping regarding your enquires or account.

  • To comply with legal/government obligations where/when necessary such as HMRC

  • To process your order or quotation requests, it may be necessary to share personal information with a third party such as delivery companies. (see section 8)

  • To detect, prevent and prosecute fraud and other crime( see section 8)

5. How we store and keep your personal data secure

At AAA Precision Ltd. Data security is of the utmost importance to us and we have put measures in place such as physical, electronic and managerial procedures to protect your data. Access to data is held on secure servers, to prevent misuse, loss and damage to your personal information. In addition, we limit access to employees and third parties (see section 8) on a need to know basis. They will only process your data on our instruction and have a duty of confidentiality. We also take every step to secure your data when using our website, you acknowledge that the internet is not entirely secure, for this reason we cannot guarantee the security of any personal data that is transferred from you or to you via the internet.

We have put procedures in place to deal with any suspected personal data breach. We will notify you of this and the applicable regulator of the breach where we are legally required to.

6. How long do we keep your personal data?

We only keep your personal data for as long as necessary for the purpose in which it was collected including for the purposes of satisfying any accounting, legal, or reporting requirements we may have. We will hold on to the data you provide while your account is in existence with us or as needed to provide a service to you .We will delete or destroy data at the end of that period.

If we have a legal responsibility or due to regulatory requirements, we may also retain some of your information for a limited period of time after your account is closed or services are no longer provided to you.

7. Where is my data stored?

We will only store and transfer your personal data within the UK, meaning it will be fully compliant and protected by GDPR law.

AAA Precision LTD may employ the services of trusted GDPR compliant third parties for the following:

  • IT companies who support our website

  • Operational companies such as delivery companies

  • Search engine facilities

  • Accountants who audit our finances

  • Management account services

If any of these third parties require access to your personal data; any data provided is limited and is only used to perform the services we request and under strict confidentiality. We will also take steps to ensure that your data is handled safely and securely and in accordance with your rights. This data will never be sold, and any other use of your data is strictly prohibited. Any data that is processed by third parties must be processed within the terms of this policy and in accordance to General Data Protection Regulation 2018 (GDPR).

Government third parties

During the processing of your personal data we may have a legal obligation to share this information with external government agencies such as HMRC for Tax or VAT purposes. We have a legal duty to disclose this information. Where we have a legal obligation to do so we will share your information with relevant bodies, this could be because of a court order to prevent fraud or crime. This can be done without your consent.

9. How to control access to your personal data

At AAA precision we understand that you trust us with your personal information and we are committed to ensuring you can manage the privacy and security of your own personal data. You may choose to restrict the collection or use of your personal data at any time.

Under the GDPR (General Data protection Regulation) you have a legal right to request any of the following:

  • The right to be informed about our collection and use of your personal data.

  • That we stop any consent based processing of your personal data after you withdraw your consent. For example, when you submit personal data via our website you will be given options to restrict or stop this.

  • The right for your data to be amended If any data held by us is inaccurate or incomplete.

  • The right to erasure, meaning the right to ask us to delete all of your personal data within one month of your request. If for legal reasons this cannot be completed we will explain this in full.

  • The right to object to us using your data for any particular purpose or purposes.

  • The right to data portability. This means that when you have provided us with personal data directly with consent. You can ask us for a copy of this personal data to reuse with another business or service.

  • View the personal data we hold on you at any time

  • The right to stop any automatic processing. We do not do any form of automatic processing.

If you would like to exercise any of your rights (see section 10). You can do this via email or in writing, we will respond to you with a subject access request form. This form gives us all the information we need to process your request such as what data you are seeking, within one month of receiving your request. We aim to complete your request within 30days, in some cases however, particularly if your request is more complex more time may be required up to three months from the date we received your request. You will be fully informed of the progress.

Our security measures mean you will have to provide proof of identity before we reveal any personal data (or to exercise any other rights). This is a security measure to ensure that personal data is not disclosed to anyone who does not have the right to view it.

We will provide this information within 30days free of charge unless your request is “manifestly unfounded or excessive” .For example if you make repetitive requests an administrative fee may be charged. Also if we cannot action your request due to legal requirements we will explain this in depth.
